2.3. Invoicing

Our powerful invoicing features make it quick and easy to create professional invoices for your clients. You can import your timesheets, billable expenses and mileage into your invoices and, of course, you can also add your own invoice lines.

Getting started

Creating an invoice

From the invoicing page click on the new invoice button, then select either an existing contract to pre-populate the invoice with information or select 'free-type' to create a blank invoice. You'll now be presented with the invoice editor where you can enter the client's details and add lines to your invoice.

The invoice number is automatically generated for you (you can change the invoice numbering in your company's settings page) and if you've selected a contract the invoice address and description is also pre-populated. The payment due date is displayed on the invoice and is also used to show a reminder on your company's homepage.

Adding lines to your invoice

You can now use the four buttons at the bottom of the screen to add lines to your invoice.

  • Add timesheet - imports unbilled time that you've recorded on your timesheet
  • Add journey - imports billable mileage that you've recorded in your mileage log
  • Add billable expense - imports billable expenses that you've recorded in either your company's expenses or bookkeeping area
  • Add manual line - allows you to create a manual invoice line, just select the category and enter the description, quantity and unit price.

You can edit the description, quantity, unit price and VAT rate (if applicable) for any invoice line by clicking on the edit button next to the line.  Click on the green check when you're done.  You can delete an invoice line by clicking on the trash icon.

Getting more from your contracts
inniAccounts makes it easy for you to invoice clients for everything you're due - time, expenses and mileage. Make sure you've set up your contracts - see the link at the bottom of this page for more detail.

Once you've finished editing your invoice click on the save button at the top of the page.  You'll be taken to the invoice summary page where you can download a PDF copy of your invoice or email it to your client.

Deleting invoices

  1. Click on the invoicing icon on the navigation bar
  2. From the summary table of invoices, click on the invoice that you wish to delete
  3. Click the Delete Invoice button at the top of the screen and confirm you wish to delete it

Struggling to delete or edit an invoice?
You can't delete or edit an invoice if you've already received payment for it or if you've included it on a VAT return. You'll need to either delete the bookkeeping entry for it or delete the VAT return (assuming you've not filed it with HMRC). Once you've done this you can delete or edit the invoice.

Emailing, downloading and printing invoices

You can download a PDF version of your invoices, which you can then either file or or print.

  1. Click on the Invoicing icon on the navigation bar.
  2. Locate the invoice you wish to email or download.  If it is not visible, check that you have them all displayed by using the Payment Status pull down, and then click the Refresh button.
  3. Click on the required invoice.
  4. To email the invoice, click on the Email PDF button at the top of the screen and enter the details in the dialogue box.
  5. To view, download or print the invoice, click the View PDF button.  The invoice will be displayed from which you can save or print.
Emailing of invoices is only available to Plus and Premium customers

Receiving payment for invoices

Once you've created an invoice it will appear in two places - on your homepage reminders and on the list of pending payments on your bookkeeping page.  You can receive payment for your invoice in either of these places.

You can also enter a part payment for an invoice - inniAccounts will automatically keep track of the outstanding balance.
